Documents Required for a Consumer Complaint

The invoices, chats, warranties, and proof bundle you should assemble before sending a notice or filing before a consumer commission in India.

Document checklist for consumer complaints

Consumer commissions decide on papers more than passion. The good news is that the core bundle is predictable: proof you paid, proof of what was promised, proof of what went wrong, proof you complained, and proof of loss. This guide is your packing list.

Identity and party documents

  • Your ID proof as required by filing practice
  • Invoice or booking showing opposite party legal name
  • GSTIN / seller page / company letterhead extracts
  • Platform legal entity details from the app or website
  • Address proofs for territorial pleadings where relevant

Transaction proof

Keep the tax invoice, payment gateway confirmation, UPI reference, card statement highlight, and any subscription renewal mails. For cash payments, note the refusal of invoice if that happened. Without consideration proof, consumer status arguments become unnecessarily hard.

Defect and deficiency proof

For goods: serial photos, service job sheets, lab reports if any, unboxing videos. For services: proposals, missed milestone emails, downtime logs, cancellation denials. For refunds: “processed” messages plus statements showing non-credit. Match each complaint paragraph to at least one annexure.

Pre-litigation paper trail

Annex your grievance emails, legal notice, postal receipts, and any reply. If the company offered a partial refund, keep that offer—it can show admission of a problem even if you rejected the quantum.

How to index annexures

Annexure system

  • A-series: identity and invoice
  • B-series: promises (listings, brochures, contracts)
  • C-series: breach proof (photos, reports, logs)
  • D-series: complaints and notices
  • E-series: loss computation worksheet
  • Create a contents page with short descriptions

In /workflows/consumer-complaint, uploading these categories supports cleaner case summaries and drafts. On /platform, optional review catches missing parties and thin proof before filing fees are paid.

What not to annex

Avoid dumping your entire camera roll or unrelated angry voice notes. Over-annexing hides the decisive exhibits. Keep a reserve folder for documents you may produce later if the opposite party denies a narrow fact.

Building a loss computation worksheet

Beyond the product price, list courier costs you bore contrary to policy, alternate purchases made to mitigate, repair estimates, leave from work for service visits if you claim it, and any medical costs for safety incidents. Each line needs a bill. A worksheet prevents double counting and stops you from inventing round figures at the hearing when asked “how did you arrive at this number?”

Share the worksheet as an annexure. Commissions and opposite parties settle faster when the math is visible. Hide the math and everyone assumes you are exaggerating.

Device extracts and cloud backups

Chat apps change; phones reset. Back up WhatsApp exports to two locations. For email, download PDFs rather than relying on a work address you may lose. If a spouse or parent ordered on your behalf, gather their statements and payment proofs early—party and authorisation issues are easier to fix at collection time than at hearing time.

Translation and readability

  • If key invoices are in another language, prepare a simple translation
  • Highlight relevant rows on long bank statements
  • Paginate everything before the hearing bundle
  • Add a two-page reading guide for large annexure sets

Help the reader. A commission member skimming fifty pages of unhighlighted statements may miss your best proof. Make the decisive page impossible to ignore.

Document retention after settlement

Even after refund, keep the bundle for a cooling period. Sometimes credits reverse; sometimes BGV-like issues appear for warranties. Do not burn evidence the day money arrives. If a settlement requires destruction of goods, photograph them before compliance.

LawGPT uploads in /workflows/consumer-complaint help you keep categories straight while drafting; /platform review can flag missing proof of consideration or promise before you pay filing fees.

The ten documents that win most refund cases

If you are overwhelmed, start with ten: invoice, payment proof, listing screenshot, order confirmation, delivery or non-delivery proof, damage or defect proof, return pickup proof, refund promise, bank non-credit proof, and grievance email trail. Many successful consumer matters are basically these ten documents with a calm chronology. Add expert reports later if the respondent contests cause.

Put the ten in a folder named 01 to 10. When LawGPT or a lawyer asks for evidence, you upload without hunting through WhatsApp media for an hour. That operational readiness is part of modern consumer advocacy.

Chain of custody for physical goods

If you must return a defective product after filing, photograph packing and retain courier receipts. If the commission directs inspection, follow the direction precisely. Lost-in-transit returns after filing can become a new dispute inside the old one—document every handoff.

Screenshot discipline for modern apps

Capture full screens, not cropped fragments that hide dates. Include the URL bar where browser-based. For apps, capture the order details page, the refund page, and the chat export. Store originals in a raw folder and highlighted copies in a hearing folder so you never overwrite unedited proof. When agents ask you to share screen recordings on unofficial tools, prefer official tickets and never install random remote-access apps from chat links.

Witness statements and affidavits

A roommate who saw the empty box, a technician who inspected the product, or a spouse who attended the installation can provide short signed statements. Keep them factual and first-person. Affidavit formalities depend on filing practice—follow local requirements rather than inventing notarisation everywhere. One clear witness outweighs five dramatic but vague ones.

Document checklist for services

  • Signed proposal or booking mail
  • Proof of payment milestones
  • Scope change emails
  • Photo or deliverable log
  • Cancellation or complaint mails
  • Alternate provider quotes if claiming completion costs

Service disputes fail when scope is only oral. If your provider refused to sign a proposal, your email restating the scope before payment becomes critical. Annex that email near the top of the service bundle inside /workflows/consumer-complaint.

Long-form bundle for contested high-value cases

When the claim is large or the respondent is aggressive, expand beyond the ten-document core. Add expert reports, comparable listing archives, prior complaint patterns if properly evidenced, and a detailed loss worksheet with formulae. Create a reading guide that tells the commission which ten pages matter most inside a two-hundred-page set. High-value cases drown when everything is “equally important.” Curate. Then keep the raw reserve separate for disclosure fights.

Version-control the bundle: v1 at notice, v2 at filing, v3 at evidence. Never edit v1 pages silently after service; add supplementary annexures with new numbers. Authenticity hygiene wins objections before they start.

  • v1 Notice bundle frozen after service
  • v2 Filing bundle with pagination
  • v3 Evidence bundle with affidavits
  • Reserve folder never filed unless needed

Email and ticket archaeology

Support systems auto-close tickets; mailboxes auto-archive. Once a week during an active dispute, export the ticket PDF or email the thread to yourself. If an agent shares a refund reference only in chat, copy it into a dated note and screenshot it. Build a tiny index of ticket IDs with one-line outcomes. When you later draft a commission complaint, that index becomes a chronology without heroic memory. It also stops companies from claiming you never escalated beyond a chatbot.

For phone calls, send a same-day confirmatory email: who you spoke with, what was promised, and by when. If they do not correct it, your email stands as contemporaneous record. This single habit converts ephemeral calls into annexable documents and is as important as invoices in modern consumer disputes.

Storage and privacy

Keep identity documents used for filing in a secure folder. Do not paste Aadhaar numbers into public social posts about your case. Redact bank account digits in exhibits where only the credit line matters, unless full details are required for a specific prayer. Privacy hygiene protects you while you enforce consumer rights through /workflows/consumer-complaint and hearings.

If you use multiple email addresses—work, personal, spouse—search all of them for order confirmations before you conclude a document is lost. Forward everything into one archive address. Fragmented inboxes are a common reason consumers under-annex proof they already possess.

Label every PDF with a date and short name before you upload it anywhere. Future you—and any reviewer on LawGPT—should open the folder and understand the story without a guided tour. Naming discipline is an annexure strategy disguised as housekeeping.
